This Privacy Policy applies to the ShowScribe iOS and iPadOS app (“ShowScribe,” “the app,” “we,” “us,” or “our”). It does not apply to services you independently use before or after ShowScribe, such as your CRM, email provider, MLS, or messaging apps.
Privacy at a glance
- Your buyer profiles, property context, showing notes, transcripts, comparisons, and drafts are designed to be stored locally on your device.
- Recording and speech recognition begin only after you take an action and grant the relevant iOS permissions.
- Recorded audio is not sent to ShowScribe’s text-generation AI. Apple may process speech audio when on-device recognition is unavailable, depending on device, language, and system capabilities.
- Text is sent to a remote AI processor only when you request an AI feature such as structuring notes or drafting a recap.
- ShowScribe does not automatically send buyer communications, sell personal information, or use advertising tracking.
Information stored on your device
To provide the app’s features, ShowScribe may store locally:
- buyer profiles and consultation preferences;
- property addresses or labels, prices, visit context, and showing dates;
- typed notes, speech transcripts, positives, concerns, questions, reactions, and next actions;
- comparisons, explained buyer-specific scores, follow-up drafts, and generated PDF content;
- onboarding answers, selected language, settings, AI usage allowance, and local premium state.
You control what you enter. Because real-estate notes can be sensitive, avoid recording access codes, full financial records, government identifiers, or protected-class information that is unnecessary for a lawful transaction.
Microphone and speech recognition
ShowScribe requests microphone access only when you choose voice capture and speech-recognition access when transcription is needed. You can deny or later revoke either permission in iOS Settings and continue with manual notes.
Speech recognition is performed on the device where supported. Depending on the device, language, network, and Apple’s current capabilities, Apple’s speech service may process audio to produce a transcript. That processing is governed by Apple’s privacy terms. ShowScribe’s text-generation AI receives transcript text, not the recorded audio.
Optional AI processing
When you deliberately request an AI action, ShowScribe sends the text needed for that action to a remote AI processing service. Depending on the feature, this can include a reviewed transcript, selected showing fields, selected comparison rows, consultation priorities, and your requested tone. The response returns an editable structured note, recap, or follow-up draft.
AI content may be processed temporarily by our service providers for delivery, security, and abuse prevention under their applicable agreements. Do not include information that is not necessary for the requested result. ShowScribe does not represent AI output as guaranteed accurate; review every result before saving, sharing, or using it professionally.
If you do not request an AI action—or if you use the manual fallback—your note content is not sent to the text-generation AI.
Analytics and diagnostics
When analytics is enabled in the distributed app, ShowScribe uses Mixpanel to understand onboarding completion, feature use, paywall and purchase events, failures, app version, device/OS characteristics, and general language or region. Mixpanel may receive a pseudonymous installation identifier and technical request data such as an IP address. Events include app_name=ShowScribe so this app’s events can be separated from other products.
Analytics events are designed not to include buyer names, contact information, exact property addresses, raw transcripts, note content, generated follow-ups, or PDF content. We do not use the advertising identifier for cross-app tracking and do not sell personal information.
Purchases
Subscriptions, trials, purchases, offer-code redemption, billing, and refunds are handled by Apple through StoreKit and your Apple Account. We may receive transaction and entitlement information needed to unlock premium features, but we do not receive or store your full payment-card details.
Sharing and third parties
ShowScribe does not automatically contact buyers. Information leaves the app for a client or colleague only when you deliberately use actions such as Copy, Share, or PDF export. The receiving app or service then handles that information under its own terms and privacy policy.
We may use service providers for AI processing, analytics, infrastructure, and support. They may process limited information on our behalf. We may also disclose information when required by law, to protect rights and safety, or in connection with a business transfer, subject to applicable law.
Retention and deletion
Local records remain on your device until you delete them or remove the app. An Apple-managed device backup may retain app data according to your iCloud or device-backup settings. AI request data and analytics records may be retained by processors only as permitted by their service configuration, agreements, and applicable law.
You can delete individual records in the app where that control is offered. You may also delete local ShowScribe data by removing the app. To request access to or deletion of analytics or support data associated with you, contact us. We may need limited information to verify and fulfill the request.
Security and international processing
We use reasonable administrative and technical safeguards appropriate to the service, but no device, transmission, or storage method is guaranteed secure. Service providers may process data in countries other than your own, with protections required by applicable law and provider agreements.
Children
ShowScribe is a professional productivity app and is not directed to children under 13. We do not knowingly collect personal information from children under 13 through the app.
Your choices and rights
You can use manual notes instead of microphone, speech, or AI features; revoke system permissions in iOS Settings; decide what to copy, export, or share; manage subscriptions through Apple; and request access, correction, or deletion where applicable. Depending on where you live, privacy law may provide additional rights.
Changes to this policy
We may update this policy when the app, processors, or legal requirements change. The date above identifies the latest version. Material changes will be communicated where required.
